BASIC FUNCTION: 

Provide support to Senior Management and Executives, as well as support to those who report to the executives. Responsible for overseeing office day-to-day operations in the group with include but are not limited to:

 

MAJOR DUTIES: 

  • Process travel arrangements using the most effective means.  Reconcile monthly AAirpass statement with travel records.
  • Coordinate restaurant arrangements (individual or group events, local or on location).  Make arrangements for specialty events.  Assist with collection, placing and distributing of office lunch orders
  • Create detailed expense reports and maintain accurate records, reconcile to credit card statement, track wireless bills to make sure are submitted for the year.
  • Update Outlook calendars and contacts
  • Process registration for conferences, seminars, webinars, continuing education, etc. and update annual memberships
  • Research and acquire specialty office equipment, devices, furniture, other items and programs as requested, to enhance productivity.  Acquire maintenance or repairs when needed
  • Answer phones, including the main incoming line for the office, and assist with immediate contact needs
  • Maintain electronic files with current credentials
  • Process correspondence and maintain records; transmit corporate documents (electronically/overnight courier), coil bind reports or presentations as requested  

QUALIFICATIONS:    

  • Experience with Microsoft Office including Word, Excel, Power Point
  • Experience with Adobe Acrobat X Standard
  • Experience with Cisco IP Phone Systems
  • Experience with AMEX Travel, Concur and CardScan
  • Ability to use printer, fax, copier, scanner, coil binding machine
